Cancellation & Refund Policy

1. Scope

This Policy applies to:

  • setup / onboarding / implementation fees
  • subscription fees
  • customization or service charges
  • event-related service fees
  • payment processing / platform charges, where applicable
  • donations made through the Platform, subject to the terms below

2. Setup / Onboarding / Implementation Fees

All one-time setup, onboarding, implementation, configuration, consultation, training, or customization fees are generally non-refundable once:

  • onboarding has commenced; or
  • access credentials / admin access have been issued; or
  • implementation work, consultation, configuration, training, or customization has begun.

If the Company is unable to begin the agreed service solely for reasons attributable to the Company, the Company may, at its discretion, offer a full or partial refund.

3. Subscription Fees

Monthly, quarterly, or annual subscription fees are generally non-refundable once the subscription period has started and access to the Platform or relevant Service has been provided.

Cancellation of a subscription will stop future billing from the next applicable cycle if requested in time, but will not ordinarily entitle the customer to a refund for the current active billing period.

4. Cancellation of Future Renewals

Customers may request cancellation of future renewals by writing to zetakhrsolution@gmail.com before the next billing date. If the request is received after the renewal date, the next billing cycle may already have been charged and may not be refundable except at the Company's sole discretion or where required by law.

5. Donations Made Through the Platform

Where a donor makes a donation through the Platform to an NGO, trust, institution, or campaign hosted on the Platform, such payment is ordinarily treated as a voluntary donation to the listed organization / campaign. Donations are generally non-refundable, except in limited cases such as:

  • duplicate transaction,
  • accidental multiple debit,
  • payment made due to technical error,
  • transaction failure where the amount was debited but not successfully credited / settled,
  • any refund approved by the relevant NGO / organization and legally permissible.

In donation-related refund cases, the Company may require the donor to contact the concerned organization and/or may coordinate with the organization and payment gateway to review the request. The Company does not guarantee approval of donation refunds where funds have already been transferred to the beneficiary organization or where reversal is not legally or operationally feasible.

6. Event Registration / Ticketing Fees

If the Platform is used for event registration or ticketing:

  • cancellation and refund rules may vary by event organizer;
  • the organizer's specific cancellation terms may apply in addition to this Policy;
  • convenience fees, payment gateway charges, taxes, and already incurred processing charges may be non-refundable.

If an event is cancelled by the organizer, refunds, if any, will be subject to confirmation from the organizer and permissible deductions.

7. Duplicate / Erroneous Transactions

If you believe you were charged incorrectly, debited multiple times, or suffered a duplicate transaction, please contact us within 7 days of the transaction with:

  • transaction ID
  • date and amount
  • name / email / phone used during payment
  • reason for refund request
  • screenshot or bank proof, if available

We will review the request and, where justified, coordinate with the payment gateway / bank / organization.

8. Failed Transactions / Pending Reversals

If a payment fails but your bank account is debited, the reversal is generally handled by the bank / payment provider and may take 5โ€“10 working days, depending on the payment method and banking system. Razorpay's public guidance similarly notes that payment reversals / refunds can take several business days depending on the bank and payment method. If the amount is not reversed within the expected period, please contact us with the transaction details.

9. Processing of Approved Refunds

If a refund is approved:

  • it will ordinarily be processed back to the original payment source;
  • actual credit timelines depend on the bank, card network, UPI provider, wallet provider, or payment gateway;
  • permissible gateway / banking / processing charges may be deducted where applicable and disclosed.

10. Right to Reject Refund Requests

We reserve the right to reject refund requests where:

  • the request is fraudulent, abusive, or unsupported;
  • services have already been substantially delivered;
  • the request relates to a donation already transferred to the beneficiary organization without valid basis for reversal;
  • the user has violated our Terms;
  • the claim is inconsistent with transaction records, onboarding records, or gateway data.
